We are seeking a warm, organized, and process-driven On-site Client Intake & Support Specialist to manage the first point of contact for our community-based legal and social services. In this role, you will be the face of our organization at the front desk, event check-in, or field office, responsible for welcoming individuals, managing intake documentation, and ensuring that every client feels heard, respected, and efficiently guided toward the support they need. If you possess a high degree of empathy, exceptional administrative skills, and the ability to maintain composure in a fast-paced environment, this is a pivotal role that sets the tone for our commitment to community empowerment and access to justice.
Key Responsibilities
Welcoming & Intake: Serve as the first point of contact for clients, warmly greeting them, assessing their immediate needs, and guiding them through the intake process with empathy and clarity.
Documentation Management: Collect, organize, and verify client information and intake forms, ensuring all data is entered accurately into our case management system while maintaining strict confidentiality.
Resource Navigation: Quickly identify the nature of the client's request and connect them with the appropriate legal team member, community partner, or administrative resource.
Conflict De-escalation: Act as a calm presence in high-pressure or emotionally charged situations, managing client expectations and resolving inquiries or frustrations with professional diplomacy.
Operational Support: Assist with office or field site logistics, such as maintaining supplies, preparing intake folders, managing waiting areas, and coordinating communication between staff and clients.
Confidentiality & Compliance: Handle sensitive personal and legal information with the highest degree of discretion, ensuring all practices align with organizational privacy policies and legal requirements.
Feedback & Reporting: Gather basic client feedback or experience metrics to help management improve the efficiency and accessibility of our intake processes.
Requirements & Qualifications
Education: High school diploma or equivalent; Associate’s degree in Social Work, Administration, or related field is preferred.
Experience: 1–3 years of experience in front-office administration, client services, customer support, or legal intake, ideally in a non-profit or public service setting.
Technical Skills:
Proficiency in Microsoft Office/Google Workspace and experience with database or case management software.
Strong aptitude for high-volume data entry and digital filing.

Meticulous Attention to Detail: Ability to handle complex intake forms and sensitive data accurately without error.

Clear & Supportive Communication: Ability to explain processes simply and reassure clients who may be unfamiliar with the legal system.
